The Role

As Events and Commercial Activities Coordinator, you will be responsible for the delivery of a vibrant and exciting events programme, including our Freshers programme, and be responsible for the coordination and delivery of our core income generating activities within merchandise, advertising, and NUS Extra Card sales. We are looking for an individual who has strong experience and knowledge of running successful events.

 

The successful individual will have a strong understanding of the complexities of working in partnership with a large organisation and will be able to understand what an excellent student experience looks like to UCA Students.  They will have significant experience of working within a fast paced, dynamic and exciting organization and understands how to generate additional income to support the student experience. The Events and Commercial Activities Coordinator will have an excellent knowledge of current themes and issues within Higher Education and students’ unions and has the ability to train and develop groups of volunteers, staff and student officers to achieve success within UCA.

Job Description

Job Purpose

  1. Coordinate all events that contribute to UCASU’s strategic and operational goals including Freshers week and other events throughout the academic year
  2. Coordinate all income generation activities that contribute to UCASU’s strategic and operational development
  3. Contribute to UCASU’ strategic and operational planning and provide support for student officers

Key Responsibilities

  1. Coordinate all events that contribute to UCASU’s strategic and operational goals including Freshers week and other events throughout the academic year
  • Coordinate UCASU’s activity during Freshers week including booking equipment, materials, venues and staff, coordinating prearrival materials and preparing plans
  • Coordinate key large scale events during Freshers week including booking venues, artists and managing sales
  • Coordinate key large events throughout the year including booking venues, artists, equipment, materials, staff and coordinating promotional activities
  • Responsible for the delivery of a year round entertainments programme for students across all four campuses.
  • Build relationships with potential partners to develop new opportunities for social activities
  • Support clubs and societies with the delivery of their events and activities in collaboration with the Clubs and Societies Coordinator.
  • Coordinate small-medium research projects including surveys, and preparing secondary research information.
  • Responsible for the coordination and delivery of all health and safety procedures relating to events and other activities within UCASU.
  • Responsible for the purchase and maintenance of all equipment relating to the yearly events programme.
  1. Coordinate all income generation activities that contribute to UCASU’s strategic and operational development
  • Primary responsibility for generating income through NUS Extra Cards and merchandise
  • Responsible for supporting the delivery of meeting the strategic income target for UCASU within events, NUS Extra cards and merchandise sales.
  • Develop and deliver an operational income generation plan
  • Research and develop new streams of income generation
  • Responsible for coordinating the graduation merchandise contract.
  • Responsible for coordinating all aspects of the year round merchandise contract including relationships with NUSSL, establishing systems for ordering and controlling stock and to maintain appropriate stock levels.
  • Liaise and negotiate with relevant staff and other external parties on issues relating to commercial activities.
  • Responsible for training and developing student staff in all aspects of related commercial activity.
  1. Contribute to UCASU’ strategic and operational planning and provide support for student officers
  • Provide information relating to events and income generation, including up to date financial reports and budgets as required by the Chief Executive
  • Contribute to strategic and operational planning discussions by putting forward ideas for future projects and events based on evidence
  • Advise and support student officers on all issues relating to events and entertainments programmes
  • Support student officers by putting forward ideas in relation to commercial activities.
